    Description

    The Hotel Office Manager position is responsible for training, coaching, hiring, supervising Front Desk Agents to provide exceptional customer experience. Responsible for scheduling and assigning tasks to Front Desk Agents as well as managing performance. Serves as revenue manager monitoring daily rates and setting daily rate. Assists hotel management with daily operations. 


    Essential Functions:

    • Recruits, assists with hiring, trains, supervises and manages Front Desk Agents. Manages work schedules of Front Desk Agents including time off requests and ensures all work shifts are covered.
    • Serves as Revenue Manager. Monitors rates on a daily basis. Manages inventory on group blocks to maximize revenue and maintain donor relations.
    • Independently manages software interfaces for online presence ie. Trip Advisor, Sabre, Expedia, etc.
    • Inputs group block reservations and routes proper billing. 
    • Assists with room donors’ reservations for game weekends and sales process for vacancies.
    • Serves in the rotation of Manager on Duty for weekend coverage of the hotel.
    • Follows up on all reservations and billing matters for sales department. Sets up and monitors prospect tracking system for sales department with reviews weekly, monthly, quarterly. 
    • Reviews sales group rooming lists and coordinates proper routing for billing purposes. 
    • Assists with LSUAA activities including football game day and other events.
    • Maintains office supplies, promotional items, and printed materials and inventory for suite shop to ensure timely reordering. 
    • Reviews reservations and entity profiles for arrivals to ensure complete and accurate data for proactive handling of reservation issues. Merges profiles in Opera to prevent duplications. 
    • Coordinates with maintenance and housekeeping team members to ensure exceptional guest treatment and maintains an operational facility within daily time constraints.
    • Ensures all postings, cash transactions, account settlements, and deposits are handled      correctly.
    • Performs other duties as assigned periodically by supervisor. 

    Requirements

    Minimum Qualifications:

    • Bachelor’s Degree in communications, hospitality, marketing, business or a related curriculum or equivalent work experience. 
    • 3 years’ experience in hospitality industry; management experience preferred. 
    • Flexible schedule with the ability to work nights, weekends, holiday as needed. Extended hours can be expected August-November. 
    • Technical aptitude, Opera experience is a plus. 
    • Special attention to detail in working with data and translating into strategy. 

    Knowledge, Skills, and Abilities:

    • Ability to calculate figures and amounts such as discounts, interest, commissions, pro-rata, percentages, and volume; ability to apply concepts of basic accounting.
    • Problem Solving. 
    • Excellent ability to multi-task and prioritize in a busy environment.
    • Excellent customer relationship skills; Demonstrated ability to build and maintain relationships.
    • Strong computer skills with advanced knowledge in the Microsoft Office Suite.
    • Excellent oral/written communication skills.
